CASE STUDY
"I went from sending and receiving dozens of emails to saying to everyone, "Here's your link."
- Christine Gorman, PENCIL Vice President and Chief of Staff
The Customer
PENCIL is a New York City-based non-profit that helps students prepare for college and career success.
Industry: Non-profit
The Problem
Board meeting prep was a huge lift for PENCIL, taking a quarter of the team just to pull reports and build board books—only to find some people hadn’t even read them. Then they saw a Zeck ad asking, “Do your board meetings suck?” and they never looked back.
The Solution
Combining Word docs and spreadsheets into a board book was a tedious, late-night grind—plus, printing dozens of copies was costly and wasteful. With Zeck, the process is seamless, formatting headaches are gone, and printing is a thing of the past.
The Benefits
The biggest win for PENCIL, beyond the time savings, has been gaining visibility into who is—or isn’t—reading board materials and when they’re doing it. This has helped the team set better expectations heading into board and committee meetings.
Customer Service on the Train
Gregg, CEO of PENCIL recalled creating his first Zeck.
“I was having an issue with my committee reports and navigating the appendices. I was rushing to catch a train and called Rebecca (Zeck customer service superhero). By the time my train left the tunnel out of New York City, it was already in the Zeck and ready for review. What struck me wasn’t just that she helped—it was that something that used to take hours was done in 10 minutes. From that moment on, I knew this was going to be our process.”
From Board Decks to Galas
PENCIL started using Zeck for board meetings, but it quickly became so much more. Now, all their committees are on Zeck, and they’ve even turned their board handbook into a dynamic, easy-to-update resource. What used to be a long, clunky PDF is now a living set of files with policies, impact stats, contact lists, and campaign materials—all at board members’ fingertips. Need outreach language for a gala? It’s in Zeck. Want to see the latest wish list of companies to connect with? That’s in there too.

“Hey, six of your fellow board members are ahead of you - you don’t want to get called out tomorrow, right?”
- Gregg Bethel, CEO
A Gentle Nudge Never Hurt Anyone
Gregg has found Zeck’s analytics to be a game-changer when it comes to giving board members a gentle nudge to review materials. He loves getting alerts when someone opens the deck — sometimes while he’s on the phone with them — giving him valuable insight into board engagement. It’s also helped him think about ways to prompt better behavior, like a friendly reminder before meetings for anyone who hasn’t opened their materials yet. Knowing that a little competition can motivate his board, he has emailed saying “Hey, six of your fellow board members are ahead of you - you don’t want to get called out tomorrow, right?”
Above and Beyond
PENCIL has fully taken advantage of all Zeck has to offer. Christine mentioned “I really like the minutes feature because I can very quickly create a set of minutes that are based on what my board book was and I fill out the template and it’s done. We also love the voting feature. It’s been so helpful for folks to see that visual on the screen that there will be a vote." Love that she said folks.
